How to create Workspace in Hoicko.ai?

What is a Workspace?

The Workspace is located at the top level of the Hoicko.ai hierarchy. It acts as a central place where you can organize and manage your boards, tasks, folders, and views.

You can create multiple Workspaces depending on your business needs and switch between them easily using the Workspace menu.

A Workspace helps teams collaborate efficiently by keeping related projects and data in one organized place.

Create a Workspace in Hoicko.ai

A Workspace is a collection of boards. In simple terms, a Workspace works like a container where you store and manage your board data.

Follow these steps to create a new Workspace:

Step 1: Open Workspace Section

Click on the Workspace icon to navigate to the Workspace section.

Step 2: Click on “+ Add Workspace”

Select + Add Workspace to begin creating a new Workspace.

Step 3: Enter Workspace Name

A popup window will appear.

  • Enter your Workspace Name
  • Click OK

Once created, your Workspace will appear in the Workspace section and can be identified by its name.

You can now start creating boards and invite members to collaborate.

Note: There is no limit to the number of Workspaces that can be created. However, maintaining a structured number of Workspaces helps improve organization and management.

Workspace Permissions

Workspace permissions depend on user roles.

Admin Permissions

Admins have complete access to:

  • Add boards
  • Edit boards
  • Remove boards
  • Manage Workspace settings
  • Add or remove members
  • Assign Admin access

Workspace creators can also promote members to Admin roles.

Managing a Workspace

Once your Workspace is created, you can manage and customize it through the Manage Workspace option.

Workspace management includes:

  • Changing Workspace logo
  • Updating display color
  • Editing Workspace name
  • Adding members
  • Managing Teams
  • Viewing board information
  • Updating Workspace description

Access Manage Workspace

Open your Workspace and select Manage Workspace.

Change Workspace Logo and Display Color

To update the Workspace appearance:

  • Click on the current Workspace logo
  • Select a new logo
  • Choose a display color
  • Click Submit

Change Workspace Name

To rename your Workspace:

  • Click on the current Workspace name
  • Enter the updated name
  • Click Submit

Board Information

Inside Workspace management, you can access board details.

Click on any board to open and manage it.

You can also add a Workspace Description to explain:

  • Workspace purpose
  • Department association
  • Team objectives

This helps members quickly understand the Workspace.

Workspace Users

The Workspace Users section displays:

  • Workspace Members
  • Workspace Admins

(i) Add Members to Workspace

Open the member section and select Add Member.

(ii) Select Members

Choose one or multiple members to add to the Workspace.

Admins can also add complete Teams.

(iii) Make a Member Admin

Click on the Crown icon beside a member's name.

The selected member becomes a Co-Admin and receives administrative access to the Workspace.

(iv) Remove Admin Access

Click the Green Crown icon to remove Admin permissions.

The user will continue as a regular member.

(v) Remove Member from Workspace

Click the X icon beside the member name.

Once removed:

  • The member loses Workspace access
  • Shared boards inside that Workspace will no longer be visible

Delete Workspace

To delete a Workspace:

  1. Open the Workspace homepage
  2. Click the three-dot menu in the top-right corner
  3. Select Delete Workspace
  4. Confirm deletion
  5. Click OK

Important: Deleting a Workspace permanently removes access to its associated content.

Workspace Restrictions

By default, all team members can create Workspaces.

For Enterprise plans, Admins can control Workspace creation permissions.

To manage this setting:

  1. Click your Profile Picture
  2. Select Admin
  3. Configure Workspace creation permissions

This provides an additional level of administrative control across the organization.
